Reports to:                 School Principal
Contract:                     Fixed term

Hours of work:          10.15am to 2.15pm Monday to Friday

 

Commencement Date will be 12th August 2019 and there will be a probation period of no longer than 6 months. Holidays must be taken in consultation with the school to avoid unnecessary loss of time during the school year.

 

Work Appropriate to the School Secretary:

 

The following are the guidelines of the Department of Education. Such duties as are appropriate to the position as may be assigned from time to time by the Principal and will include:

 

  1. 1)Checking and examining documents. Checking or analysing fairly straightforward documents, accounts, application forms, claims etc. for accuracy and consistency and to ensure conformity to regulations, contract terms and conditions of straightforward nature.

 

  1. 2)Drafting, correspondence, etc. Checking or analysing fairly straightforward documents, accounts, application forms, claims, etc. for accuracy and consistency and to ensure conformity to regulations, contract terms and conditions of a straightforward nature.

 

  1. 3)Accounts work, including salary/wages compilation, payment of wages and salaries and cash handling.

 

  1. 4)Statistics. Compiling statistics including September Returns, October Returns and reports to the Trustees

 

  1. 5)Personal Contacts. Contacts (including telephone contacts) with members of the public.

 

  1. 6)Abstracting information. Abstracting and summarising information in accordance with straightforward and well established procedures, e.g. the preparation of estimates of cost and returns.

 

  1. 7)Typing. Typing as required.

 

  1. 8)General. Opening and distributing post, maintaining stocks of office stationary, etc…

 

  1. 9)Other Office Machines. Operating office machines, including computers, calculators, copying machines, etc…

 

  1. 10)Other clerical duties. Recording and filing and maintaining inventory of school property.

 

These duties are to be performed in accordance with duly conveyed instructions. Other duties of similar quality are not excluded. This list is not exhaustive.

Good communication skills with adults and children is also very important. Key skills and competencies required for the position are listed below:

  • Excellent command of English
  • A minimum Leaving Certificate standard of education or equivalent
  • A minimum of 3 years experience in office / secretarial work or related environment
  • Strong organisational skills
  • Proven ability to initiate, plan and work on own initiative
  • Proven ability to work in a team environment with staff
  • Excellent communication, interpersonal skills and ICT skills
